Our Approach to Client Data

When clients share business information, spreadsheets, reports, documents or other files with us, that information is handled only for the agreed service requirement. We aim to use practical and responsible data-handling practices throughout the engagement and avoid unnecessary access, sharing or retention of client information.

Our approach is built around four core principles: confidentiality, integrity, security, and responsible incident handling.

Data Confidentiality

Client information is treated as confidential business information and is used only for the specific service or project agreed with the client.

We do not intentionally share client information with unauthorized individuals or organizations. Access to client information is limited to what is reasonably necessary to complete the agreed work.

Client information is not used for portfolio examples, screenshots, demonstrations, training examples, YouTube content or promotional material without appropriate permission.

Data Integrity

We aim to preserve the accuracy, consistency and intended meaning of client data while performing agreed data cleaning, transformation, reporting and formatting activities.

Care is taken to avoid unnecessary deletion, alteration or corruption of legitimate records, formulas, dates, numbers and other important information.

Where practical, an original or source copy should be retained before significant changes are made so that the original information remains available for reference.

We use reasonable safeguards when handling client information and aim to protect it against unauthorized access, loss or misuse.

  • • Use strong passwords and keep relevant software reasonably updated.
  • • Avoid unnecessary sharing of client files.
  • • Use secure channels for transferring information where available.
  • • Limit access to client files to what is reasonably necessary.
  • • Avoid retaining client files longer than reasonably necessary.
  • • Use anonymized or sample data for public demonstrations where possible.

Confidential client information should not be intentionally exposed through public demonstrations, screenshots, portfolio examples or training content.

Data Breach & Incident Response

No responsible organization can guarantee that a security incident will never occur. If we become aware of a security incident involving client information, we will take reasonable steps to investigate, contain and address the incident.

1. Identify: Determine what happened and what information may have been affected.

2. Contain: Take reasonable steps to prevent further unauthorized access or disclosure.

3. Assess: Understand the scope and potential impact of the incident.

4. Correct: Take appropriate steps to address the underlying issue.

5. Communicate: Where appropriate and required, notify affected clients and/or relevant parties.

6. Review: Improve processes or safeguards to reduce the likelihood of recurrence.

Client Responsibilities

Responsible data handling works best when both parties follow good practices. Clients are encouraged to:

  • • Share only information reasonably necessary for the requested work.
  • • Avoid sending unnecessary sensitive personal information.
  • • Inform us about special confidentiality requirements.
  • • Use appropriate protection when transferring sensitive files.
  • • Inform us if a file contains particularly sensitive or regulated information.
